If you are a person who usually sends important information to your clients via email, then the Gmail Confidential Mode is for you. The confidential mode on Gmail is designed to improve email security and privacy. When you send emails to your clients or customers by enabling the Confidential Mode on Gmail, the receivers can view the message only after entering the SMS passcode. Further, the receivers cannot download, copy, or forward the email to unauthorized receivers. It also lets you set the expiration date so that the emails you have sent will disappear from the receiver’s inbox after a particular period of time.
Send Emails Using Gmail Confidential Mode
1. Open the Gmail app on your smartphone. If you’re using a PC, log in to the Gmail web version using any browser.
2. Click on the Compose option at the bottom right corner of your smartphone (On the PC web version, you can find it in the top left corner).
3. Compose the email like you normally do by adding the recipient’s email ID, subject, and body.
4. Once you compose the mail, click the three-dotted icon at the top and select Confidential Mode.
5. Then, toggle on the Confidential Mode on the next screen.
6. Next, tap Set Expiry and choose the expiry time limit between 1 day to 5 years. Then, tap Done.
7. Then, click on the drop-down below the Require Passcode section. Two options, such as Standard and SMS passcode will appear on the prompt. If you select Standard, the receiver can open the email without any PIN or Password. However, the email will automatically disappear when the expiry date that you have set arrives.
8. If you select SMS passcode, you must mention the receiver’s mobile number in the upcoming steps. The receiver should enter the OTP received on their phone number to access the emails.
9. Once you have enabled all the required options for the Confidential mode, tap the Tick icon at the top.
10. Then, click on the Send icon at the top of the screen. A Missing Information prompt will appear on the screen.
11. Tap Add Missing Information and enter the recipient’s Phone Number on the next screen. Tap Done.
12. Finally, click on the Send icon once again to send an email using Gmail’s Confidential Mode.
How to Access the Received Confidential Mail on Gmail
1. Launch the Gmail app on your smartphone or log in to Gmail using the browser on your PC.
2. From Gmail’s inbox, click on the Confidential message that you have received.
3. Once you open the email, you cannot directly view the email’s content. You need to verify your identity to access the email.
4. Click on the Send Passcode button from the Verify Identity section, and a six-digit passcode will be received on your mobile number from Gmail.
5. Enter the passcode on the required field and tap Submit.
6. Wait for a few seconds and you can now view the confidential mail on your smartphone or PC after successfully entering the correct passcode.
How to Revoke Access to Sent Confidential Messages?
If you accidentally sent a confidential message to any wrong email ID or don’t want the receiver to access the sent mail anymore, you can deny access to those emails easily.
1. Open the Gmail app on your smartphone and click on the Hamburger menu at the top right of the screen.
2. Scroll down and select the Sent option.
3. From the list of sent emails, choose the Confidential Mail to which you need to revoke the access.
4. Once you open the mail, you will see a box with the content expiry date at the bottom. Tap the Remove Access button.
Now, the receiver cannot not open the mail and it will appear as Email has Expired on their screen.

Yes. The receivers can take a screenshot of the confidential mail that you have sent. So, it is not advisable to send highly sensible data.
